Légumes Express
Problem statement
Légumes Express received its orders through four channels, in four formats with nothing in common: PDFs, photos of handwritten dockets, text messages and voice notes. No off-the-shelf software reads that. So he did it himself. Four hours every evening, six evenings a week: opening each message, deciphering handwriting, replaying a voice note, retyping the order line by line. Then five hours every Sunday to turn the week into invoices. Twenty-nine hours a week. Fifteen hundred hours a year. A full-time job nobody had decided to create, eating every evening and every Sunday. On top of it, the paper: everything went through the printer, at close to CHF 1,000 a month in ink and sheets.
Our solution
One application, pulling into a single piece of software everything that used to live scattered. It takes all four channels in one place: the PDF is read, the photo is deciphered, the text is structured, the voice note is transcribed. Every message comes out as a clean, normalised order, ready to confirm at a glance. Invoices are then generated straight from the orders already in the system, in a few clicks, instead of a full Sunday of retyping. Preparation lives on the same screens, built around how the team actually works. Then we took on the other end of the chain: the customer's. A rebuilt website, an online shop with catalogue, cart and payment, and an iOS and Android app so customers place their orders themselves, directly. An order coming from the app or the shop has nothing to retype: it lands clean in the system. Every customer who moves across is one less voice note to replay in the evening. And because a new tool on a dated brand makes little sense, we took the identity end to end: a full rebrand, down to the stationery. What is left is twenty minutes of review in the evening, half an hour on Sunday. The tool does the rest. Twenty-nine hours of weekly data entry cut to under three. Around 26 hours back every week, close to 1,400 hours a year: at CHF 50 an hour, nearly CHF 69,000. With preparation and invoicing moved to the screen, the printing bill was halved, another CHF 6,000 a year. Nearly CHF 75,000 a year in total. But that is not the number that matters. Evenings became evenings again, Sundays became Sundays. The time once spent retyping orders went back to his family.
